Job Summary: The Women’s Services Coordinator is responsible for assisting with administrative operations as well as assisting with patient care as directed by the RN and Director of Women’s Services.
Duties/Responsibilities:
I. Clerical Duties: Assist in the coordination of day-to day administrative operations in the Women’s Services Department.
- Allowing visitors & family access to the unit by screening entries. Handle all visitors and situations tactfully, confidentially, professionally, and with courtesy
- Front desk duties of answering phones, sorting correspondence, faxing orders to pharmacy, dietary, etc. Handle incoming mail and respond promptly as needed, or forward to the appropriate person
- Fill all copiers, printers, and fax machines with paper each morning
- Calling outside providers to obtain the missing documents for upcoming surgery
- Call patients to registration for admission
- Obtain the information needed for admission including the H&P & labs printed from OB office EMR.
- Putting together the patient charts
- Taking apart charts after discharge
- Restocking of the unit including:
- Delivery carts
- Labor rooms after a delivery
- Patient care rooms
- Newborn cribs
- Office supply orders
- All stock and special order items
- Putting in work orders for equipment that needs servicing, or rooms that need repairs from engineering, alert Director
- Putting in IS&T work orders
- In-house ordering/printing – Provide list/needs to purchasing department.
- Appropriately and correctly entering scheduled inductions into induction binder schedule.
- Perform other duties as assigned.
II. Patient Care Duties
- Obtain Vital signs for patients
- Assist in transport, transfer, and discharge of patients
- Answering call bells and assisting with patient care as needed.
- Running lab specimens to the lab (Ie: ABGs on newborns) and wait for immediate results
- Set up delivery carts in the labor room
III. Major Responsibilities and Duties
- Birth Certificates – Organizing and ensuring that Final Birth Certificates are submitted to the City Clerk’s office within 5 business days. Including:
- Ensuring information obtained in birth certificate packet is complete and accurate.
- Entering the information in to the State Perinatal Data System (SPDS)
- Confirming that the draft version of the birth certificate is correct.
- Completing the Acknowledgment of Parentage form as necessary
- Finalizing the birth certificate
- Coordinating Provider signature
- Delivery to the City Clerk
- Fetal Death Certificates – Organizing and ensuring that Fetal Death Certificates are complete and accurate and filed within 72 hours of demise.
- Generate HIV sheet-print maternal copy, newborn copy, and save a copy to OH drive
- Completing referrals for WIC, health department, and Options-fill out paperwork & fax
- Timely completion of patient charges for labor room patients.
- Assist as needed with departmental timekeeping including
- Kronos daily maintenance
- Schedule anywhere updates per staffing sheet
- Review daily staffing sheet for completion
- Register patients for classes including:
- Childbirth Education
- Breastfeeding Education
Required Skills/Abilities (Unit Specific):
- Excellent organizational and time management skills, ability to handle several tasks simultaneously.
- Excellent communication, customer service and interpersonal skills
- Excellent verbal and written communication skills
- Ability to learn and apply all Oswego Health policies/procedures as they pertain to specific duties.
- PC Skills including Microsoft Office Suite use and application, use of internet per policy.
- Ability to complete documentation accurately and in a timely manner.
- Ability to accurately identify information to properly file, collate, or report data.
- Understands and complies with HIPAA and Protected Health Information rules and regulations.
Education and Experience:
- High school diploma or equivalent required.
- 1 year experience in patient care preferred.
- 2 years’ experience in administrative support role within healthcare setting preferred.
Working Conditions:
- Ability to sit and stand for extended periods of time, ability to life twenty (20) pounds.
- Moving, lifting or transferring of patients may involve lifting up to fifty (50) pounds
- Assist with weights of more than one-hundred (100) pounds, fine motor skills, visual acuity.
Pay Range: $20.20/hr
Employee salary is based on commensurate experience and other qualifications.
